Your team wants to use AI to draft emails, summarize information, or write internal instructions. Before buying more subscriptions, answer three questions: Which tools are approved? What information can staff put into them? Who checks the finished work?
Phenicie Business Management in Polson offers Managed AI Starter to help small businesses turn those questions into a practical working process. It combines an initial setup with ongoing reviews, so the policy and tool list have someone responsible for keeping them current.
This is designed for a small team beginning with routine work and sample or non-sensitive information. It is a separate service from PBM managed IT, cybersecurity plans, and AI Search Visibility.
What does Managed AI Starter cost?
$995 one-time setup + $299 per month
Up to 10 staff, two approved AI tools, and one business organization. Delivered remotely.
Pricing is in USD. Vendor subscriptions, AI usage charges, and applicable taxes are additional. Before work begins, PBM confirms the deliverables, billing start, term, and cancellation conditions in a written agreement.
First, give your team a clear starting point
Setup includes up to six hours of remote PBM work in total. That allowance covers:
- An inventory of the two agreed tools, business accounts, owners, and approved uses.
- A review of available account settings and access; missing evidence stays visible.
- An approved-tool register, a practical AI acceptable-use policy draft, and one revision after owner review.
- One 45-minute team introduction and one 45-minute guided pilot session using sample or non-sensitive data.
- A written starting review with the next three actions and responsible owners.
The tool register records the accounts, owners, and uses your business has approved. The policy explains the boundaries. The pilot gives staff a chance to practice with a task you choose together.
For a closer look at the rules, read what a Montana small business should put in an AI acceptable-use policy.
Then, keep the decisions current each month
Monthly service includes up to two hours of PBM work in total, covering:
- One written review of reported changes, available account information, and open actions for the two covered tools.
- Updates to the tool register, policy exceptions, and next three priorities.
- One 20-minute owner review each month.
- One 30-minute remote staff refresher each quarter, scheduled within that month's service allowance.
The quarterly refresher uses that month's two-hour allowance; it is not additional time. Unused time does not roll over. Additional work requires a separate written scope and approval.
See the sample monthly Managed AI Review to understand the format. It is a fictional example, not a client result. A useful review shows what was checked, what remains unverified, and who owns the next action.
Try one useful task before expanding
For example, a small office could practice turning invented meeting notes into a draft action list. Staff would check every name, date, commitment, and assigned owner before using it.
Compare the time spent with your current process, including corrections and human review. Decide whether the result is useful before adding more tools or connecting business information. This is a suggested pilot, not a promise of time savings.
Know the boundaries before you start
Starter does not include general help desk support, incident response, broad permissions cleanup, sensitive-data connections, custom integrations, extra training, or travel. Those needs require separate scoping. Vendor licenses and usage charges are also separate.
The review depends on the account information and administration features available for the agreed tools. It does not provide automatic visibility into every employee's AI activity. Your business retains responsibility for approving uses and checking output; this service does not guarantee security, regulatory compliance, or a particular financial return.
